EBSCOadmin - Top Search Terms Report

The Top Search Terms report, available from the the Reports & Statistics screen in EBSCOadmin, offers insight into the top terms searched by users of your institution's EBSCO interfaces. The report captures up to 1,000 distinct search terms per interface and also includes search term frequency counts and result click conversion counts for the selected reporting period.

Accessing the Search Terms Report

To access the Search Terms report:

  1. In EBSCOadmin, click Reports & Statistics in the top toolbar.

  2. Click the Top Search Terms Report link in the Search Analytics area.

    The Search Terms report is displayed, showing the top search terms for the most recent 3 month period (default).

  3. Use the search box below the Terms Cloud to search for specific terms in the report.

  4. From the available drop-down menus, you can limit your report to Site (Consortia only), a particular interface, duration of the report, and number of terms to display. The displayed report is updated as you make your selections.

Search Terms Report - FAQs

Q. What is Frequency in the Search Terms report?

Search term frequency is the number of times that search term was searched for the selected report criteria.

Q. What are result clicks in the Search Terms report?

Result clicks represent the number of times a user clicks an abstract, full text article, Customlink or smart link from the result list after executing a search for the ranked terms.

Q. How can I download a Search Terms report?

To download a Search Terms report click the download button download icon and select the type of report desired: Excel, Tab Delimited, or Term Cloud. When prompted, select to Open the report or Save it to your computer. Your download reflects what is shown on the screen.

To change the number of terms in your report, select a different number from the Select Top n drop-down and then download your report. 

Q. What is the Term Cloud?

The Term Cloud displays up to 250 search terms based on rank. Terms that have a higher rank over the last three months have a higher rank. Usage can be filtered by Site (Consortia only) and Interface. A download option is available for the term cloud. Click the magnifying glass magnifying glass icon to view the larger Term Cloud.

Q. What is the Trending Search Terms by Rank box?

This box displays up to 25 search terms based on rank and is intended to show terms that are consistently searched across multiple months.Click the magnifying glass magnifying glass icon to view the Top 25 Trending Search Terms.

Q. What is the Search Click Conversions by Interface box?

This box displays counts of search clicks by interface. Search click counts are divided into two categories: search clicks that resulted in the user accessing a result and search clicks that resulted in the user not accessing a result from the result list. Click the magnifying glass magnifying glass icon to view the expanded report.

Q. What are search terms in the Term Cloud and Trending Search Terms based on?

Search terms included in the Term Cloud and Trending Search Terms visuals are based on search term quarterly rank. Quarterly rank is determined by an algorithm that weighs search term frequency and consistency across the last three completed months of usage.

Q. How are search terms rank values assigned?

Search terms are assigned monthly rank values based on search term frequency for that month. The search term with the highest frequency for a given month will be given a rank of 1 for that month, the term with the next highest frequency will be given a rank of 2, etc. If a search term is not searched in a given month it will be assigned the maximum rank value for that month and a frequency of 0 will display in the monthly rank column. Quarterly rank is then determined by aggregating the individual monthly ranks of each search term. Therefore a search term with the highest frequency count may not be the top ranked term if it was not searched for consistently across the last 3 completed months.
